Technical requirements for Online Bookings

The technical requirements for running the Online Bookings web app depend on the intended scope of functionality, the web app’s hosting location and the available or intended import method. Access to the Bp Event web server and the technical requirements of the respective import method must be considered separately.

  • General requirements

    Regardless of the operating mode and import method you choose, you will need:

    •  a modern web browser (e.g. Mozilla Firefox, Google Chrome or Microsoft Edge)

    • an email sending account in Bp Event
      During set-up, this is assigned to the user “Online-Buchung_Backend” and is used for the automatic sending of emails.
    • encrypted HTTPS connection,
  • access to the Bp Event web server

    To use functions that retrieve or directly process up-to-date data from Bp Event, the WebApp must be able to access the Bp Event server. If the online booking system is made publicly available to external customers, the Bp Event web server must be securely accessible via the internet. If the app is used exclusively within the organisation or on a closed network, accessibility via the intranet may be sufficient.
    Access to the Bp Event web server is a prerequisite for existing and future functions that require direct communication with Bp Event. These include, in particular:

    • Real-time check of room availability,
    • Taking into account current opening and closing times,
    • Customer registration and login,
    • subsequent editing of existing events or orders by registered customers,
    • Integration with payment gateways and
    • Direct import of the enquiries and orders received.

    It is therefore essential that the web server can be reliably accessed in this operating scenario. The technical requirements should be agreed with the IT team at an early stage.

  • Operation without a publicly accessible Bp Event web server

    If the Bp Event web server is not to be, or cannot be, made accessible via the internet, the online booking system can be hosted on an external PHP-enabled web server. This requires that the additional requirements for email import are met and that the necessary set-up steps are carried out correctly.

    As the web app cannot access the Bp Event web server and its current data directly in this operating mode, functions that require direct communication with Bp Event are not available.

  • Additional requirements for email import

    The Bp Event web server does not support PHP execution. Therefore, the mailer file used for sending emails must be hosted on an external PHP-enabled web server.
    In particular, the following are required:

    • external web server running PHP 7.3 or higher,
    • PHPMailer library
    • SMTP access or a Sendmail service set up on the web server,
    • Option to set up the necessary server-side environment variables,
    • encrypted HTTPS connection,
    • appropriate logging of PHP and dispatch errors,
    • An email inbox set up in Bp Event.
  • Hosting and Domains

    If the WebApp and the mailer are located on different domains, communication between the two systems must be enabled accordingly.
    If the web app is also hosted on an external web server, the ‘Online Bookings’ and ‘bpWebApp’ directories must be transferred to that server and updated regularly following any changes or exports.
