Why can't I log in to the Bp Event Client?

Is the user name or password incorrect?
If you receive an error message when entering your user name and password, correct the input or change the password.

or contact your Bp Event Administrator.


Are you authorised to log in?
Each user must be authorised to log in to the full client, mobile client, WebApp etc.

Contact your administrator to set up the user login ().


Are your login details (user name and password) still correct?
If you use your Windows password to log in to the Bp Event Client (administrative setting), this must also be re-entered once for Bp Event after changing it.

Enter your new password and tick the box "Save login data".

Why can't I connect to the Bp Event Server?

Is your client connected to the server?
If you are working with a Client-Server version of the Bp Event, both the client (your workstation) and the server must be switched on and connected to the Internet.

  1. Is your PC connected to the Internet?
    Click on the Windows icon at the bottom left and select Settings > Network, then check the internet connection.
    Establish an Internet connection.
  2. Is your PC connected to the company network?
    Click on the Windows icon at the bottom left and select Settings > Network > Ethernet.
    Check the network status in the adapter options and check the network cable.
  3. Is the server accessible?
    Please contact your system administrator or Bp Event Support.

Is the IP address of the server still correct?
If the IP address is changed, the new address must be entered on the client.

Contact your administrator to enter the new IP address.

The Bp Event Client automatically connects to the Bp Event Server. However, if you want to adjust the server address manually, press and hold the ALT key immediately after starting the Bp Event Client. As soon as a dialogue window appears, release the key again and switch to the Customtab.
First enter "Bp Event Server" as Application name. Enter the IP address of your Bp Event Server in the field Network address and add the port number 19800 separated by a colon (without spaces). The entry then reads, e.g. "127.0.0.1:19800". Click OK to open the login dialogue for your Bp Event Server.
Alternatively, enter the server IP:19800 in the "EnginedServer.4Dlink" file in the BP Event > Client > Application > Database directory. To do this, open the file in the editor and enter the server IP and the port separated by a colon after the entry server_path="Server-IP:19800", then save the file.


Is the Bp Event Server service running?
Administrator Info

The server service can only be started manually on the corresponding server. Open the server task manager (Ctrl + Alt + Del) and click on Open services. If the status of the entry "4d Server: BP Event Server x64" has ended, it must be restarted. Right-click > Properties > General to set the start type to "Automatic".

Why can't I see records I know exist in the Info Centre?

Are other records shown?
Show or hide individual data sources for better readability of the Info Centre.

Select the Datenbankexpand Data sources you want in the toolbar above the calendar window.


Has the Info Centre view been changed?
Special Info Centre settings can be saved as a view so that they can be called up again quickly.

Select the view you want from the picklist in the calendar toolbar.


Is a new record not shown?
The Info Centre does not show a newly created record, e.g. appointment, shift, event, etc.

refresh Refresh your Info Centre in the horizontal toolbar above the calendar window.

Why can't I see some records or lists I know exist?

Is the record or list only visible to a specific user or user group?
Some records (accounts, mail, appointments, tasks, etc.) or lists can be marked as confidential and are then only visible to the respective user / group or delegate.

Contact the owner of the record or list.


Are you authorised to read these records or lists?
Not every user has the right to create, read or edit all data.

Ask your system administrator to authorise you to read the records or lists.


Has the record or list been assigned to the company?
Some record types (accounts, items, etc.) can be assigned to one or more companies if you have the Multi-Companies module. This means that not all companies can access all records or lists because they belong to the individual companies.

Why did the data backup fail?

Bp Event data backup protects your data from loss in the event of a malfunction, regardless of whether you are working with a Bp Event Standalone (single workstation) or a Bp Event Server installation.

The data backup is configured once and then performed automatically at regular intervals. A log is written in addition to the data backup. It continuously records all database operations between two backup runs, thus ensuring complete data security.
In case of a malfunction (e.g. power failure) that damages your database, it will be restored fully automatically. The last data backup is restored and the contents of the logbook are integrated. Within a very short time, you can put your application back into operation with the current data status.

Important: The responsiblity for backing up your data lies with you. Please check regularly that the backup has been carried out correctly and contact the Hotline immediately for any questions.

Is there enough storage space on the server/target drive?
If you are working with a Client-Server version or a single workstation (standalone) of the Bp Event, there must be sufficient storage capacity on the server/target drive for the data backup. The size of the database and therefore the required storage space can grow considerably over time.

Check the storage capacity on the target drive and free up memory if necessary.

Required free storage space = (number of backups + 1)* size of data file


Has the data backup job been completed successfully?

A job is created for the automatic execution of the data backup. Users with administrative authorisations can create this job.

checkGo to the hilfe Help tab and select Wartungexpand Maintenance > Wartung  Maintenance. Click on check  Installation and check whether the Database - Backup - Job is available and the date/time of the last execution.

Possible causes of termination:

  1. Service client inactive
    Go to the hilfe Help tab on the function bar and select Wartungexpand  Maintenance > Wartung  Maintenance > Monitor Monitors > Monitor Service client to check.
    Important: If the "Service Client is not active", please contact the Hotline.
  2. Several jobs running simultaneously
    Set the start time of the data backup job outside of business hours and without parallel running job activities
  3. Server not available when job is started
    Set the start time of the data backup job within the server runtime
  4. Manual cancellation by a Bp Event user

Is the target drive of the data backup accessible?

The target directory on the Bp Event Server must be accessible when the server is started as a service. If your Bp Event Server service is running under the system account, the system may not be able to access the external drive due to a lack of authorisation.

  1. Go to the hilfe Help tab on the function bar and select Wartungexpand  Maintenance > Wartung  Maintenance > check Installation > Database - Backup - Directory > check  Check to check the selected target directory and its storage capacity.
  2. Check the network sharing of the target drive
  3. Check the storage medium (hard drive, USB stick, etc.) for defects

Why am I getting a warning about storage capacity and/or faulty data backup when I log in to Bp Event?

If you log in to Bp Event as a user, you will receive a warning if there are problems with the data backup and/or insufficient storage capacity on the server or at the individual workstation. Problems of this kind jeopardise your data security must be addressed. For this reason, each individual user receives a warning, which cannot be deactivated.

Did your data backup not run?

The data backup is configured once and then performed automatically at regular intervals. If problems occur during the data backup, this must not go unnoticed.

The following meassages alert you to faulty data backup:

  • Data backup failed, job not executed yet
  • The data backup was last performed on DD.MM.YYYY
  • Data backup failed, faulty execution on DD.MM.YYYY
  • Data backup failed, no job found

Is your storage capacity on the local PC too low?

The size of the database and the storage space occupied by other applications on your PC can grow considerably over time. In the worst case, insufficient storage space can lead to a damaged database or data loss. To ensure that insufficient storage capacity for data growth and data backups does not go unnoticed, the capacity is checked when the user logs on.

The following alert is shown when the storage capacity is too low
Too little space on the drive of this computer

Free up storage space by deleting unnecessary files or moving them to another storage location.


Is your storage capacity on the server too low?

The size of the database and therefore the required storage space can grow considerably over time. To ensure that insufficient storage capacity for data backups and a consequent risk of damaged files does not go unnoticed, the server's available storage space is checked when the user logs on to the client. The notice is shown in yellow or red depending on the urgency.

The minimum storage capacity can be calculated as follows:
Required free storage space = (number of backups + 1)* size of data file

The following alerts are shown when the storage capacity is too low

  • Too little space on the server drive C: x GB instead of x GB
    Note: < 1.5 times the data file (incl. index) yellow, < 30% of the data file red
  • Too little space on the server system drive C: x GB instead of x GB
    Note: < 5 GB red, < 10 GB yellow

Why does a warning appear if the available storage space is less than 1.5 times the size of the data file?

In the event of a crash or a corrupted data file, the Bp Event Server automatically restores the last data backup with the next restart. This behaviour significantly reduces administrative effort and downtime.

To ensure that this automatic recovery can be carried out successfully in the event of an error, we recommend always providing at least 1.5 times the size of the data file as free storage space on the server. This storage space is required on the same drive partition on which the Bp Event Server was installed.

Why can I no longer send emails from Bp Event via Outlook?

Has Outlook been updated in your company?

Until the end of 2023 emails could be sent from Bp Event using Outlook. With the update to New Outlook, Microsoft has made numerous technical changes. Microsoft does not as yet support any technologies that allow other programmes to prepare emails and open New Outlook.

If you want to send emails from Bp Event using Outlook, you must use the classic Outlook application and not update to New Outlook.

Our recommendation:
Use the integrated Bp Event mail client. You can send and receive emails directly from Bp Event via SMTP.
