Editing and printing display labels

The Texts, Size and Number of Display labels for Booked item can be edited and added to in a separate input list in the Order segment. The list will only be displayed if the "Display labels" function is enabled for the company in question. Only Users with authorisation to edit segments or display labels can open the list.

Important: This list can also be edited and saved individually if the event is blocked by other users (e.g. HR department) and is in View mode . Proper preparation of master items and booked items is a prerequisite for the correct working of the display labels feature.

  • Assign suitable display label lists in the event defaults

    The presets for display labels are only shown if the "Display labels" function is enabled for the company in question. The lists assigned in the event take precedence over the standard lists of the company, but can be changed in the segment itself. (Enable display labels per company)

    1. Go to VA EventVA General.
    2. Go to Pre-sets for display labels.
    3. Assign a  ausgabe List for each of the  Sizes S, M and L .
    4. Speichern Save your input.
  • In the order segment, select the items for which you would like to print display labels.

    Not every artikel Item listed in an order needs a Aufsteller Display label. Therefore, only items that are marked accordingly in the list of Vorgang Artikel Booked items are offered for further processing. Remarks are automatically removed from the list of label items.

    1. Set a number in the column Aufsteller Display labels for each book item that needs a display label. The number iscopied as the number of labels to be printed. Items without a number will not be added to the list of labels for processing.
      Example: Two display labels each are needed for the items "Mediterranean Buffet" and "BBQ Buffet", but none for the side dishes "Rice", "Bread" and "Potatoes".
    2. In order to change the number of labels for several booked items at the same time, select the rows and right-click in the "Display label" column.
    3. In the context menu, select Adjust and enter the new value. This value can still be changed in the list of labels.
      Example: "Adjust 6 times " " -> New value for " ": 2 changes the number of displaylabels for 6 selected items from empty (none) to two.
    4. To display individual booked items together on one display label, merge them first.
      Example: Combine several individually inserted desserts as "Dessert Variations"
    5. Select the Items you want by holding down the CTRL key and left-clicking.
    6. Open the context menu (right-click) and select the option neu Create new combo item ("event-specific" if applicable).
    7. Combo items can be  auffaechern Expanded either in the order segment or in the list of label items . If you expand a combo item in the order segment, only select the individual items for labelling afterwards. The original item is not retained and cannot be printed on a large display as an overview.
    8. Speichern Save your input.
  • Prepare the selected booked items for printing

    The display label texts, size and number can be edited and added to in a separate input list. Only users with authorisation to edit segments or labels can open the list.
    Important: This list can also be edited and saved individually if the event is locked by other users (e.g. HR department) and is in display mode. It can therefore be opened and saved independently of the main event.

    1. In the side navigation, go to the order segment > Aufsteller Display labels.
    2. Click on edit Edit in the top left-hand corner of the toolbar of the   input list (not the event) to be able to edit the labels list.
    3. The list appears empty when first opened. Click on artikel texte uebernehmen Copy texts in the toolbar to adopt the default label texts and sizes for the selected (!) booked items. If you have not entered specific label texts, these will default to the Menu card texts instead.
    4. If the label list has already been edited, the existing texts can either be Overwritten or Added to. In the dialogue window, the option Do not insert items more than once is enabled by default, but can be disabled.
      1. Overwrite: Deletes custom entries and restores the pre-set texts from the master items
      2. Add: Adds items and texts that are not yet contained in the list.
    5. Click on auffaechern Expand combo items to expand them and label the contained items individually.
      Important: Components will only show individually after expanding if you have entered a number for the display labels per artikel Component has been enetred in the Komponenten Combo item . (Enable expanding combo items for labels).
    6. At the bottom of the dialogue window, tick Keep original item if you also want to print out a label for the combo item itself in addition to the individual items.
      Example: "Mediterranean Buffet" on a large display label in addition to the small individual display labels
    7. Add neu New items/New display labels without items and enter a display text manually if necessary.
    8. SortierenSort the display labels according to different criteria (group, name, size, etc.) to get a better overview. Select the last option Reset sorting to return to the original order of the items.
    9. Select and delete Delete all the items for which you do not want to print out any display labels. The deletion only affects the labels and has no effect on the booked items themselves.
    10. Speichern Save your input.
  • Edit and complete the display label texts from the master items

    For master items, label texts - if available - are already pre-set, but can be changed manually. Texts can be added and changed as well as new master items added in the display label segment.
    Important: These changes only affect the display labels and have no effect on the booked items!

    1. Click on artikel texte uebernehmen Copy texts to copy the default  Label texts for master items to the "Layout text" column.
    2. Overwrite the texts with customised texts as needed.
    3. Click on artikel Item in the toolbar to open the master item itself in order to adjust and adopt the text directly.
    4. One-off items have no name and no label text. The "Label text" column shows the name that was assigned in the list of booked items.
    5. New artikel Items or  new New labels without item added in this segment are NOT transferred to the original order segment.
    6. Press the "F6" button to enlarge an input field for better readability if necessary.
      Important: Do NOT use the formatting options in this enlarged text field. Formatting is derived from the assigned ausgabe List.
  • Select the type and number of display labels

    The currently assigned ausgabe Lists, which decide on the formatting of the individual labels, are displayed in the toolbar of the input list. By default, these are the lists that have been pre-assigned on the VA Event >  VA General tab or the default lists stored in the betrieb Company settings. The number of prints required per size is also displayed.

    1. The standard size of the display labels for master items - if available - is already pre-set, but can be changed. Click on the "Size" column for the item in question to assign or change the size from the picklist.
    2. In the "Number" column, enter how many display labels you want to print per item.
      Example: 2 display labels size L with the entire buffet, 4 display labels per individual item for four buffet stations
    3. To assign a different list, click on the dropdown triangle next to the druckerexpand printer icon of the size in questionand select a different ausgabe List. Only lists that have been created for the selected size of display label are available for selection.
      Example: The display labels for a conference lasting several days all show the conference logo, but the labels for the gala dinner also bear a sponsor logo.
  • Select an output option

    The data from the buffet label list can be exported in different ways. Print, preview or export are triggered individually for each size of display label

    1. Click on drucker Print to initiate printing.
      Important: Make sure that the correct drucker Output settings are selected and that sufficient special paper has been loaded in the printer.
    2. Select pdf PDFto either see a preview or save the data externally as a PDF file.
